The terms under which Whiteley Events Ltd provides equipment hire, sound production and event services, plus the terms on which this website is made available.
Last updated: April 2026
Whiteley Events Ltd is a company registered in England (Company No. 08229242), VAT registration GB514705410. Our registered office is Decibel House, 32 Thyme Avenue,
Whiteley, Fareham PO15 7NA. We trade as Whiteley PA Hire, Whiteley PA Hire & Events, Decibel House Studios, Whiteley365.
These terms apply to any quotation, booking or contract for services between us and you (the customer). Placing a booking or paying a deposit is taken as acceptance of these terms. Anything agreed in writing for a specific event (e.g. in a quote or contract) takes precedence over these general terms where the two conflict.
Quotes are valid for 30 days unless stated otherwise. A booking is confirmed when you accept the quote in writing and pay the deposit we request. The deposit secures the date and equipment and is non-refundable except where required by law or covered by clause 8 (Cancellation).
Invoices must be settled by the due date shown by Bank Transfer or Card. We don't accept cash or cheques. We will exercise our statutory right to claim interest (at 8% over the Bank of England base rate) and compensation for debt recovery costs under the Late Payment legislation if we are not paid according to our agreed credit terms. Additional charges may apply for overtime, per diems or damages.
You are responsible for providing safe and reasonable access to the venue, a suitable working area, and a safe, sufficient power supply as specified in your quote. You must disclose any known risks (structural, electrical, crowd-related) at the venue before the event. Where we supply equipment only (dry hire), you are responsible for the safe operation and secure storage of our equipment from collection/delivery through to return.
All equipment remains the property of Whiteley Events Ltd at all times. You must not modify, sublet, or permit any third party to operate our equipment without our prior written consent. You are liable for loss of or damage to our equipment while in your care beyond fair wear and tear, and we may charge the cost of repair or replacement at current market value.
Where the event overruns the agreed finish time, or where on-site changes require additional crew, equipment, travel or overnight accommodation, additional charges and per diems may apply and will be invoiced after the event.
Services cancelled with more than 30 calendar days' notice require only the deposit to be paid. Services cancelled with 30 calendar days' notice or less will be charged the full invoice value.
If you are a consumer (booking for a private event in a personal capacity, not on behalf of a business), you have a statutory right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 to cancel within 14 days of confirming the booking, and we will refund any payments already made. If you want us to begin work (for example, reserve kit, book crew, or prepare a technical plan) before that 14-day period ends, you must ask us to do so in writing. In that case, if you later cancel within the 14 days, you will be liable for costs we have reasonably incurred up to the point you told us you were cancelling. If the event date itself is inside the 14-day window and the service has been fully delivered with your agreement, the right to cancel is lost. After the 14-day period, the general cancellation terms above apply.
Neither party is liable for failure to perform the contract where performance is prevented by circumstances outside of that party's reasonable control (including severe weather, fire, flood, public emergency, industrial action, or action by a competent authority). Where we are prevented from performing by such an event, we will refund any payments made less costs we have reasonably incurred in preparing for the booking.
We carry Public Liability insurance (copy of certificate available on request) and PAT-test our equipment. Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be limited by law. Subject to that, our total liability in connection with any booking will not exceed the total fees paid by you for that booking, and we will not be liable for indirect or consequential losses (such as lost profit or lost opportunity).
If you are a consumer, nothing in these terms affects your statutory rights — including your rights under the Consumer Rights Act 2015 to services performed with reasonable care and skill, within a reasonable time, and for a reasonable price where no price was fixed.
We retain copyright in designs, system drawings, mixes and recordings we create unless transferred to you in writing. We may photograph or record our own equipment set-ups at your event for our portfolio and marketing, and will not publish images of identifiable individuals without their consent.
We process personal data in line with UK GDPR and the Data Protection Act 2018. See our Privacy Policy for what we collect, how long we keep it, and your rights.
If anything goes wrong, tell us as soon as you can by phone or via the contact form, and we'll work with you to put it right. Formal complaints should be sent in writing to our registered office above.
We are not a member of, nor required to use, an Alternative Dispute Resolution (ADR) scheme. If we cannot resolve a dispute directly, you are free to refer the matter to a certified ADR body or to the courts of England and Wales. Consumers based in the UK may also use the Citizens Advice consumer service for guidance.
You may browse and use this website for your own lawful, non-commercial use and to enquire about our services. You must not copy, re-publish or redistribute content from this site for commercial purposes without our prior written consent. Third-party names, logos and trademarks remain the property of their respective owners and are used only to describe work we have delivered.
These terms and any booking made under them are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
We may update these terms from time to time. The version in force is the one published on this page at the date you accept a quote or place a booking. Material changes will be highlighted at the top of the page.
